TASBooks - Company consolidation

You can consolidate, or merge two or more existing companies to create one new company containing the chosen companies' data. This means you can print management reports representing the group of companies as a whole.

The following steps contain everything you need to help you create a consolidation company in TASBooks.

Before you start

Before you begin to consolidate your companies in TASBooks, you must:

  • Take a backup of your companies' data.
  • Check that each company has the same accounting periods and financial year.
  • Tip: You can check this within each of the relevant companies from Central > Central Information > Maintain Accounting Period Dates (option 021).

  • Check that each company has the same retained earnings nominal account.
  • Tip: You can check this within each of the relevant companies from Central > General Company Information > TASBooks Configuration (option 012).

  • Check that each company is set up to be included in the consolidation.

To set up a company to be included in the consolidation

  1. Open TASBooks > log into the relevant company.
  2. Central > General Company Information > Company Configuration (option 011).
  3. Company > Chart of Accounts > Company Consolidation > select the This Company can be included in a consolidation check box.
  4. To set the consolidation password > Set Password > enter a password > OK.
  5. Note: You must enter the same password for each company that you want to consolidate.

  6. To continue > OK > Yes.
  7. Repeat the above steps for every company that you want to be included in the consolidation.

To create a consolidation company

  1. From the TASBooks Company Manager window, select Add New.
  2. Enter your company name, address and contact details > Next.
  3. Select the companies you want to merge together to form the consolidated company > Next.
  4. Enter the consolidation password for the selected companies > Next.
  5. To create the consolidation company > Finish > Close.

Note: Once you create a consolidation company, you can't edit it. So if there's any changes in the merged companies, such as new nominal accounts, you must delete the original consolidation company and re-consolidate your companies again. You should also do this, if you've recently upgraded from an earlier version of TASBooks and have existing consolidated companies that you want to update.
