TASBooks - To back up your data files

Taking a backup of your data is one of the most important tasks you must perform as part of your normal accounts routines. By doing so, you reduce the risk of data loss and ensures you always have a recent set of data to restore back to, for example, if you process something in error. For more information about how to restore a backup, please refer to article 34350.

The following steps contain everything you need to back up your data in TASBooks.

To back up a single company

  1. Ensure the company you want to back up is closed.
  2. From the TASBooks Company Manager window, select the company you want to backup.
  3. File > Backup.
  4. Complete the following information:
  5. Folder Name If you want to change the location of the backup > Browse > browse to where you want to save your backup file > OK.
    Filename The default file name automatically appears here. Edit if required.
    Type If you want to change the type of files you back up > Change > choose the relevant option > Ok.
    Protect my backup with a password If you want to password protect the backup, select this check box. Then select Set Password > enter and confirm the password you want to use > OK.
  6. Start  > select the Open backup folder in Explorer check box > Close.

To back up multiple companies at the same time

  1. Ensure the companies you want to back up are closed.
  2. From the TASBooks Company Manager window, select File > Backup Multiple Companies.
  3. For each company you want to back up, select the relevant check box > Next.
  4. Complete the following information:
  5. Folder Name If you want to change the location of the backup > Browse > browse to where you want to save your backup file > OK.
    Type If you want to change the type of files you back up > Change > choose the relevant option > Ok.
    Protect my backup with a password If you want to password protect the backup > select this check box. Then select Set Password > enter and confirm the password you want to use > OK.
  6. Start  > select the Open backup folder in Explorer check box > Close.

Reasons for backup failures

There are a number of reasons why a backup may fail. These include:

  Reason for error Solution
Company in use If you're trying to backup a company that's currently in use.

 

Make sure you've closed the TASBooks company and only have Company Manager open.

If you have a multi computer version of TASBooks:

  1. Make sure no one else is working in the company.
  2. Login as supervisor and check User Management to clear any logins, for example, users that haven't logged out of TASBooks properly. To do this, select each user listed in User Management and if a Clear Login button is displayed at the bottom of the window, click this to clear that user from the system.
  3. Close the company and try to backup again.

If the problem persists, contact TAS software support.

Error reading file If you don't have access to the company's data.This could be due to a fault on your network or computer. Restart the process and try again.
Insufficient disk space If the drive or device you've chosen to back up to is full. Backup to a different location or free-up some space for the backup.
Error writing to file If TASBooks wasn't able to access the folder or drive you've chosen to back up to due to a fault with the network drive or you don't have full access to a folder you've chosen. Try to access the folder or drive outside of TASBooks, for example, see if you can copy a file to it using Windows Explorer. If you can't, check you've got full access to this location or try backing up to a different drive or folder.
Aborted by user You've cancelled out of the backup before it's complete. Restart the process and try again.
Verify failed TASBooks couldn't verify that the backup of this company was successful. Check that you have access to the location you are trying to back up to. Try to access the folder or drive outside of TASBooks, for example, see if you can copy a file to it using Windows Explorer. If you can't access this drive or folder, try backing up to a different location.
File already exists There's already a backup with the same file name in the chosen location.

Each backup is created with a file name containing the company name, date and time of the backup, so this should only occur if you've backed up this company more than once in quick succession.
Wait a moment, then try backing up again. The file name should then contain a different time stamp.
Other errors Some, less common errors may occur in the final stages of the backup process. These include:
  • Out of memory
  • Internal logic error
  • Invalid comment format
  • Error using temporary file
  • Nothing to do
  • Unable to create backup file
  • Invalid parameters
  • Unable to complete the backup operation
If you receive any of these errors:

  1. Close your TASBooks company and check that it's not been moved or deleted.
  2. Check that you have access to the drive and folder that you're backing up to and that there's room for your backup file.
  3. Try the backup again.
