In Sage Micropay, you can quickly and easily produce a wide range of payroll reports.

If you need to send payroll information to someone in your company who doesn't have access to Micropay, you can print reports or save them as PDF files and email them. To save on printing costs, you can also email payslips directly to your employees each time you pay them.

Revenue Online Service (ROS) compatible

Did you know, you can produce a number of ROS online submission files in Micropay? For example, employee P45s and your P35 year end return.

To help you get the most from your reports, we've gathered everything you need to know about getting started with reporting in Sage Micropay.

Standard payroll reports

To help you analyse your payroll data, Micropay has a wide range of reports available for you to choose from. The most common reports printed each pay period are the Control Summary, P30/CC124, Gross to Nett and Bank Transfer.

Once you've found the report you're looking for, you can:

  • Print the report on plain A4 paper or specialised Sage stationery.
  • Save the report as a PDF file.
  • Run the report directly into a Microsoft Excel spreadsheet.

Year end reports

As part of the year end routine, you must generate your company's annual P35 return and submit it to Revenue. You must also provide your employees with their P60s. Payslips

Whether you print payslips onto pre-printed stationery or you email them directly to your employees, it's important that you give them the details about their pay clearly and on time.

Tip: Did you know that you can add a note to an employee record which then automatically appears on their printed payslip? This can be very useful if you need to let them know about a pay increase or a change of legislation. Read more >>

Central Statistics Office (CSO) reporting

Note: If the CSO haven't selected your company for surveying, you can ignore this section completely.

Before you can start using the CSO reporting option in Sage Micropay, you must check that you've completed the following tasks. Use the checklist to help ensure you've done everything before moving on.

Have you enabled the CSO reporting feature in your payroll?

To check this now:

  1. On the menu bar, click Company/Payroll then click Company Details.
  2. Click the CSO tab.
  3. Select the Use CSO Reporting Feature check box.
  4. In the CSO CBR Number box, enter your company's central business register (CBR) number.
  5. Note: If you're unsure of what your company's CBR number is, you must contact the CSO directly.

  6. Click OK.

  2. Click the CSO tab.
  3. Select the Use CSO Reporting Feature check box.
  4. In the CSO CBR Number box, enter your company's central business register (CBR) number.
  5. Note: If you're unsure of what your company's CBR number is, you must contact the CSO directly.

  6. Click OK.

Have you checked your payments are set up for CSO reporting?

To check this now:

  1. On the menu bar, click Company/Payroll then click Payments.
  2. Select a payment, then click Edit.
  3. Click the relevant EHECS and NES types, if applicable, then click Save.
  4. Repeat steps 2 and 3 for each payment set up on your payroll, then click Close.

Have you checked your employee data is set up for CSO reporting?

To check this now:

  1. On the menu bar, click Processing then click Employee Details.
  2. Next to the Surname box, click browse  and click the relevant employee.
  3. Click the CSO tab.
  4. Enter the relevant CSO employment information.
  5. Note: If you're setting up the CSO feature mid year, you must delete all entries on the CSO history table and then repopulate it. To do this, click on each CSO entry, then click F5 and Yes when prompted. When you've removed all of the CSO entries, click Fill Blank History.

  6. Click Save.
  7. Repeat steps 2 to 5 for all relevant employees, then click Cancel.

Although reports are useful and often essential to a business, storing printed copies isn't always practical. With Sage Micropay, you can produce your reports, payslips and P60s in a range of different ways. For example, if you want, you can print your payslips on to stationery or save your reports as PDF files.

If you're printing directly on to stationery, you should first check that you're using the recommended printer settings in Micropay.

Tip: To save time and money, you can send payslips and P60s to your employees by email.

Emailing reports and payslips

You probably already use email in your business, and sending emails from Micropay is a great way to save you time and money. For example, if you need to send payroll information to someone in your company who doesn't have access to Micropay, you can save your reports as PDFs and email them.

Note: The email option is only available with fully MAPI-compliant email clients, such as, Microsoft Outlook. You can't use this option on webmail clients, such as, Gmail or Hotmail.

Saving reports as PDF files

  1. On the menu bar, click Reports then click Payroll Reports.
  2. Locate and select the relevant report.
  3. Click PDF.
  4. The Save As window automatically appears.

  5. Browse to where you want to save the PDF file, then click Save.
  6. When asked if you want to view the file now, click either Yes or No.
  7. Tip: If you clicked No, you can access the saved report as a PDF file later from the location you specified in step 4.

Running reports directly in to Microsoft Excel

  1. On the menu bar, click Reports then click Payroll Reports.
  2. Locate and select the relevant report.
  3. Click Excel.
  4. Note: If the Excel button is greyed out when you select a report, it's not possible to export it into an Excel spreadsheet.

    The Save As window automatically appears.

  5. Browse to where you want to save the Excel file, then click Save.
  6. When asked if you want to view the file now, click either Yes or No.
  7. Tip: If you clicked No, you can access the saved report as an Excel spreadsheet later from the location you specified in step 4.
